Scheduler (Medical Office) (Oncology Clinic): Scheduling patient appointments, referrals, tests, and surgeries while coordinating communication between patients, physicians, and medical staff with an accent on insurance authorization, EMR documentation, and front-office operations. Focus on managing complex scheduling workflows, securing pre-certification, coordinating pre-operative testing, and protecting patient confidentiality.

Location: McAllen, Texas; onsite work in a clinic office. Monday through Friday, 8:00am–5:00pm, with no weekends or holidays.

What you will do

  • Answer incoming calls, assess patient needs, route calls, and communicate messages accurately.
  • Schedule new, referred, and returning patients, tests, outpatient appointments, surgeries, and hospital admissions as required.
  • Maintain scheduling templates and coordinate physician meetings, satellite schedules, rounding, and call coverage.
  • Enter insurance authorizations, referral documentation, correspondence, and coding information into patient charts and EMR systems.
  • Collect co-pays, deductibles, and other patient payments, and arrange financial counseling when needed.
  • Coordinate pre-certification, pre-operative testing, surgical preparation, and post-operative follow-up appointments.

Requirements

  • Must work onsite at the McAllen clinic in Texas.
  • High school diploma or equivalent required.
  • Level 1: 0–3 years of experience; Level 2: at least 3 years of office experience; Senior level: at least 5 years of office experience.
  • Excellent written and verbal communication skills required.
  • Proficiency in Microsoft Outlook, Word, and Excel required.
  • Medical terminology and coding knowledge is required for the Senior level; scheduling and authorization experience is preferred for Level 1.
