Automotive Service Department Scheduler (Automotive)

What you will do

• Answer incoming calls and schedule vehicle service appointments based on shop capacity, technician availability, and workflow guidelines.
• Respond to phone, internet scheduling, and live chat inquiries and confirm appointments.
• Follow up on missed appointments, declined services, lost customers, and future maintenance needs.
• Conduct post-service satisfaction calls and send service reminders, coupons, promotions, and other customer communications.
• Maintain accurate customer notes and appointment records in dealership systems.
• Work with Service Advisors and department leadership to support scheduling and administrative workflows.

Requirements

• Strong customer service, communication, phone etiquette, active listening, and organizational skills.
• Ability to multitask and work efficiently in a fast-paced service environment.
• Computer skills with Outlook, Excel, Google Sheets, and Word.
• Comfort communicating with customers about vehicle maintenance recommendations and follow-up services.
• Valid driver’s license with a clean driving record.
• Previous customer service or appointment scheduling experience is preferred; dual-screen experience is also preferred.
