Proposal Coordinator

What you will do

• Coordinate complex, multidisciplinary proposals and statements of qualifications from kickoff through final delivery.
• Manage proposal content, schedules, pursuit checklists, and submission deliverables.
• Format documents and maintain brand consistency, compliance, and alignment with evaluation criteria.
• Coordinate input from marketing, technical staff, leadership, and subconsultants.
• Facilitate kickoff and milestone meetings while tracking progress and accountability.
• Maintain proposal databases, content libraries, boilerplate materials, and templates; support QA/QC and process improvements.

Requirements

• Bachelor’s degree in English, Communications, Marketing, or a related field preferred.
• 4+ years of experience in proposal coordination, preferably in the AEC industry.
• Proficiency in Adobe InDesign, Microsoft Word, PowerPoint, and Acrobat.
• Strong writing, editing, proofreading, organization, and time management skills.
• Ability to collaborate with technical and non-technical staff and manage multiple concurrent deadlines.
• Availability Monday–Friday, 8:00 a.m.–5:00 p.m., with overtime as needed.
