Associate Director, Event Management (Animal Care)

Location: Cranbury HQ with a hybrid work schedule

Salary: $75,000–$90,000 per year, depending on qualifications, with eligibility for an annual bonus program or commission incentive.

What you will do

• Plan, manage, and track detailed timelines for multiple concurrent multi-day conferences.
• Coordinate deliverables and task assignments across internal teams, clients, vendors, venues, and AV partners.
• Lead conference logistics, including agendas, breakout sessions, run-of-show documents, travel, materials, staffing, and execution checklists.
• Use AI tools and project automation platforms to improve planning, status tracking, documentation, and reporting.
• Support on-site event delivery, troubleshoot issues, escalate risks, and maintain clear paths to resolution.
• Complete post-event reconciliation and reporting, capturing metrics and process improvements.

Requirements

• 5–8 or more years of project management or event coordination experience.
• Strong ability to manage detailed timelines, high-volume task execution, and multiple projects simultaneously.
• Excellent organization, follow-through, communication, and cross-functional coordination skills.
• Active experience using AI tools such as ChatGPT, Claude, or project automation platforms is expected.
• Ability to discuss specific AI workflows, tools in use, and measurable impact on productivity or accuracy.
• Experience with conferences, events, animal care, or veterinary work is strongly preferred.

Nice to have

• Familiarity with Bizzabo, Cvent, or Workfront.
• Experience developing AI-driven workflows for complex, multi-workstream projects.
