TL;DR
Certificates Administrator (Physical Securities): Processing physical securities transactions, client-account entries, depository requests, and secured-vault records with an accent on settlement accuracy, reconciliation, and risk mitigation. Focus on coordinating with transfer agents, issuers, legal counsel, clients, and internal teams while maintaining organized securities storage and timely reporting.

Location: 100% in office at the Downtown Toronto office, 5 days a week

Annual cash compensation: CAD 49,000–60,000, including base salary and target discretionary performance bonus.

Fidelity Clearing Canada is an independent Canadian clearing broker and custodian providing trade execution, clearing, custody, and back-office support to brokerage firms and registered Portfolio Managers.

What you will do

  • Process Dataphile entries to accurately reflect physical securities in client accounts and within Fidelity.
  • Set up deposits and withdrawals with securities depositories, including CDS and DTC.
  • Facilitate physical securities transactions, including reregistration, account transfers, legend removals, and security splits or consolidations.
  • Coordinate with transfer agents, issuers, legal counsel, clients, counterparties, and internal Fidelity teams.
  • Maintain onsite and offsite securities storage, reconcile physical holdings, and retrieve sensitive documentation from client firms and the secured vault.
  • Process incoming mail, couriers, and faxes, respond to client requests, and prepare reports for clients and management.

Requirements

  • Current Canadian work authorization is required.
  • More than one year of related operations experience in financial services, preferably in settlements, physical certificates, or correspondent clearing.
  • Post-secondary education.
  • Excellent MS Excel skills and proficiency with the MS Office environment.
  • Strong customer service, communication, relationship-building, and stakeholder-management skills.
  • Ability to work independently and effectively in a fast-paced, challenging, team-oriented environment.
