TL;DR
Technical Services Administrator (Medical Devices): Coordinating ANZ technical service workflows, documentation, customer updates, logistics, and ERP/CRM records with an accent on regulatory compliance, service accuracy, and cross-functional coordination. Focus on scheduling field engineers, managing repairs and returns, tracking parts and loan equipment, and improving service processes and reporting.

What you will do
- Create, schedule, and track service jobs in ERP/CRM systems such as Workday and Salesforce.
- Process service requests, returns, preventative maintenance, repairs, quotations, and invoicing support.
- Coordinate field service engineer schedules, customer site bookings, and communication about service status.
- Maintain compliant service documentation, records, data entry, audit information, and QA/RA documentation.
- Coordinate shipping and tracking of service parts and loan equipment, including inventory reconciliation with warehouse and logistics teams.
- Generate service performance reports, monitor turnaround and completion KPIs, and recommend workflow improvements.
Requirements
- 1–3 years of experience in administration or service coordination.
- Strong proficiency in Microsoft Office, including Excel, Outlook, and Word.
- Experience working with ERP/CRM systems.
- High accuracy, attention to detail, organisation, time management, and the ability to manage competing priorities.
- Strong written and verbal communication skills and a customer-focused, collaborative approach.
- Intermediate English required.
Nice to have
- Experience in medical devices, healthcare, or another regulated industry.
- Experience supporting field-based teams.
- Understanding of TGA or Medsafe compliance requirements.
