Location: San Francisco, CA, United States; flexible hybrid remote/in-office schedule. Candidates must be able to comply with U.S. government contract and export-control requirements, including applicable U.S. Person or export authorization criteria.

What you will do
- Own end-to-end interview scheduling across open requisitions, including complex multi-panel loops across time zones and competing calendars.
- Coordinate with recruiters and hiring managers to confirm panels, prepare interview kits, and provide interviewers with the required context and materials.
- Serve as the primary candidate contact during the interview process and communicate logistics clearly and promptly.
- Manage external staffing and search agency coordination, including submissions, interview logistics, status updates, and fee and terms tracking.
- Maintain candidate and requisition records in Rippling ATS and the centralized recruiting tracker.
- Track scheduling metrics, resolve last-minute changes, support interviewer onboarding, and assist with career fairs, referrals, and process improvement projects.
Requirements
- 3+ years of experience in recruiting coordination, HR coordination, executive or administrative support, or a similar detail-driven operational role.
- Exceptional organization, proactive problem-solving, and the ability to manage a high volume of moving parts.
- Strong written and verbal communication skills, with discretion when handling confidential candidate and business information.
- Proficiency with calendar tools such as Google Calendar and willingness to learn ATS and scheduling platforms; Rippling experience is a plus.
- Experience supporting technical or engineering recruiting and coordinating with external staffing or search agencies is beneficial.
- Must meet applicable U.S. export-control access requirements, including U.S. Person status or eligibility for export authorization.
Nice to have
- Bachelor's degree or equivalent practical experience.
- Experience in a startup or fast-scaling company.
- Experience with technical, engineering, aerospace, defense-sector, cleared, or ITAR-sensitive hiring processes.
- Familiarity with NISPOM, DCSA, security-clearance timelines, Rippling, or comparable ATS platforms.
- Experience supporting global or multi-region hiring across the U.S., U.K., and Canada.
