Assistant to AD, Equity; the Director, Innovation and Business Development; and the Director, Graduate and Postdoctoral Studies (administrative coordination): Coordinating administrative workflows, records, schedules, awards, peer-review processes, strategic-plan activities, events, and confidential support for senior Faculty of Arts leaders with an accent on data tracking, reporting, stakeholder communication, and policy-based administration. Focus on maintaining complex timelines, preparing analyses and correspondence, coordinating award and review cycles, and providing front-desk support at the Vancouver campus.

Location: hirify.global Vancouver Campus, Vancouver, BC, Canada

Compensation: CAD $4,732.00–$4,972.00 per month

What you will do

  • Coordinate administrative workflows, workplans, schedules, deliverables, meetings, correspondence, reports, and special projects for the Associate Dean, Equity, and two Directors.
  • Maintain tracking systems, collect and analyze data, monitor deadlines, follow up with stakeholders, and prepare reports and presentations.
  • Coordinate faculty awards, including timelines, nominations, eligibility checks, submissions, decisions, and communications.
  • Manage administrative requirements for Peer Review of Teaching, including records, workshops, documentation, and completion tracking.
  • Support Strategic Plan Implementation through meeting coordination, action tracking, data gathering, reporting, and stakeholder events.
  • Provide reception and office support, including visitor service, phone coverage, meeting-room bookings, mail handling, travel arrangements, expense claims, and confidential records management.

Requirements

  • High school graduation and a two-year post-secondary diploma, plus four years of related experience, or an equivalent combination of education and experience.
  • Strong administrative coordination, prioritization, judgment, accuracy, discretion, and deadline-management skills.
  • Very high proficiency with PC applications, particularly Microsoft Word and Excel, including managing complex data and records.
  • Ability to communicate effectively in writing and verbally, work independently and collaboratively, and interact respectfully with people from diverse cultural backgrounds.
  • Ability to manage email, use office equipment, enter and retrieve data from university systems such as Workday, PAIR, and ORS, and contribute to WordPress website management.
  • Ability to type 50–60 words per minute and maintain confidentiality when handling sensitive materials and conversations.
