Talent Operations Specialist (AI)

Location: Silicon Valley, United States; hybrid

Applied AI company building foundational hardware and software for the semiconductor industry, critical AI infrastructure, and broader systems in partnership with advanced institutions.

What you will do

• Administer and architect the Ashby ATS, including permissions, pipelines, templates, scheduling rules, and integrations with Slack, Notion, AI notetaking, and Google Workspace.
• Maintain candidate data integrity, retention and consent configurations, record dispositions, duplicate detection, and fraud-flagged records.
• Build recruiting dashboards covering funnel conversion, candidate velocity, source effectiveness, interviewer loads, and hiring SLAs.
• Evaluate and govern AI tools, automated scheduling logic, and low-code integrations to reduce administrative work and improve candidate experience.
• Standardize interview loops, scorecards, interviewer onboarding, and hiring documentation in partnership with recruiting leads.
• Oversee job board distribution and candidate logistics across US, European, and APAC markets, while providing backup interview coordination during volume spikes.

Requirements

• Experience in talent operations or advanced recruiting coordination within a fast-scaling technology startup, high-growth environment, or deep-tech company.
• Hands-on administration of Ashby, Greenhouse, or Lever, including structured pipelines, custom fields, offer workflows, and automated scheduling rules.
• Strong analytical skills with experience building recruiting reports, identifying pipeline bottlenecks, and presenting insights to stakeholders.
• Systems and automation mindset with practical experience using documentation tools, AI assistants, and low-code automations.
• Ability to manage ambiguity, switch contexts, take ownership, and communicate across US, European, and APAC time zones.
