Finance Operations Specialist

Location: Remote role based in Northern Ireland, with occasional in-person meetings. Work with North American customers and finish later twice a week.

What you will do

• Manage customer billing and invoicing in Maxio, including subscriptions, renewals, upgrades, credits, and invoice accuracy.
• Own accounts receivable collections by monitoring aging reports, contacting customers, negotiating payment timelines, and escalating issues.
• Process vendor invoices, manage approvals, prepare payment runs, and respond to supplier queries.
• Perform daily bookkeeping in Xero, including bank and credit card reconciliations, journal entries, and general ledger maintenance.
• Support month-end close, audits, VAT and tax filings, expense management, and finance projects.
• Maintain consistent billing and customer data across Maxio, Xero, and HubSpot while resolving discrepancies and billing queries.

Requirements

• 3–5 years of hands-on experience in bookkeeping, accounts, or finance operations.
• Strong integrity, discretion, attention to detail, organization, and the ability to manage multiple deadlines independently.
• Experience with cloud accounting software; Xero is strongly preferred.
• Experience in accounts receivable collections and confidence contacting customers about overdue invoices.
• Excellent written and verbal English communication.
• Must be based in Northern Ireland and available for occasional in-person meetings. Willingness to work later twice a week for North American customers.

Nice to have

• IATI or AAT qualification, part-qualified ACCA/CIMA accountant, or equivalent.
• Experience with Maxio or subscription billing platforms such as Chargebee, Recurly, or Zuora.
• Familiarity with HubSpot or other CRM systems.
• Experience in B2B SaaS or technology scale-up environments.
• Experience with multi-currency transactions and international customers.
