TL;DR
Office Administrator (Aerospace): Supporting day-to-day operations for an onsite engineering office with an accent on purchasing, travel coordination, facilities support, expense reporting, and employee events. Focus on coordinating vendors and office logistics, maintaining business documents and records, and improving administrative efficiency in a space systems environment.

Location: Onsite in Tucson, Arizona, United States. Occasional travel or off-site support may be required.

What you will do

  • Support daily office operations, including conference rooms, meetings, interviews, office logistics, and administrative services.
  • Create and maintain business documents, presentations, reports, meeting materials, and confidential records.
  • Manage purchasing, inventory, supplies, vendor orders, shipping and receiving, mail distribution, and budget tracking.
  • Coordinate facilities activities with vendors, Facilities, and IT, including equipment repairs, workspace readiness, and office moves.
  • Coordinate catering, employee engagement activities, recognition events, office celebrations, travel, and expense reports.
  • Build cross-functional relationships, maintain a professional workplace, and improve administrative processes and operational efficiency.

Requirements

  • High school diploma or GED.
  • At least 2 years of experience in administration, office management, or a related support role.
  • Advanced proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Proficiency with Adobe Acrobat.
  • For work in the United States, eligibility under U.S. Government ITAR regulations is required, including U.S. citizenship, lawful permanent residence, qualifying refugee or asylum status, or eligibility to obtain the required authorizations.
  • Ability to work onsite and handle prolonged sitting, standing, walking, computer work, and occasional exposure to moderate noise, dust, and fumes in production areas.

Nice to have

  • Associate or bachelor’s degree in business administration, management, or a related field.
  • Experience in aerospace, engineering, manufacturing, or government contracting.
  • Experience with purchasing, inventory, vendors, travel, expense reporting, budgets, and office events.
  • Experience with Concur, Costpoint, SharePoint, or similar enterprise business systems.
  • Strong organizational, communication, customer service, judgment, and prioritization skills.
