TL;DR
Technical Services Administrator (Medical Devices): Coordinating service workflows, documentation, ERP/CRM data, field engineer schedules, customer communications, and logistics for acute care technologies with an accent on regulatory compliance, service accuracy, and operational coordination. Focus on managing repair and preventative maintenance workflows, tracking service parts and equipment, monitoring performance metrics, and improving service processes.

Location: Onsite in St. Leonards, Australia

What you will do

  • Coordinate service job creation, scheduling, tracking, returns, preventative maintenance, and repair workflows in ERP/CRM systems.
  • Schedule field service engineers and customer site bookings, and communicate service updates to customers.
  • Maintain accurate, complete, and compliant service documentation and records for audits and quality assurance.
  • Support quotations, invoicing, service reporting, KPI monitoring, and process improvement initiatives.
  • Coordinate shipping and tracking of service parts and loan equipment, including spare-parts inventory reconciliation.
  • Collaborate with technical service, warehouse, logistics, sales, clinical, finance, QA/RA teams, and external customers.

Requirements

  • 1–3 years of experience in an administrative or service coordination role.
  • Strong proficiency in Microsoft Office, including Excel, Outlook, and Word.
  • Experience working with ERP/CRM systems.
  • High accuracy, attention to detail, organisation, time management, and ability to manage competing priorities.
  • Strong written and verbal communication skills with a customer-focused and process-driven approach.
  • Intermediate English required.

Nice to have

  • Experience in medical devices, healthcare, or another regulated industry.
  • Understanding of TGA or Medsafe compliance requirements.
  • Experience supporting field-based teams.
