Business Operations Associate (AI)

Location: Hybrid in Culver City/Los Angeles, United States, working alongside the CEO. Early start aligned with East Coast time.

What you will do

• Monitor Stripe for failed payments and overdue invoices, manage collections, and reconcile checks.
• Keep HubSpot, PandaDoc, Stripe, and internal systems aligned with customer contracts, usage, and billing.
• Execute upgrades and renewals, including paperwork, billing updates, and customer recaps.
• Process vendor invoices and resolve customer billing requests.
• Own inbound routing, recruiting coordination, interview scheduling, pipeline tracking, and CEO operations.
• Progress into market research, pricing and deal modeling, partnership research, and strategic projects.

Requirements

• One to three years out of school with concrete evidence of ownership, initiative, and strong performance.
• Exceptional organization, follow-through, and judgment in identifying work before it is assigned.
• Fast, clear, and professional written English.
• Fluency with spreadsheets and experience using AI tools to work more efficiently.
• Availability to work in a hybrid role in Los Angeles with an early start aligned to East Coast time.

Nice to have

• Experience with Stripe, HubSpot, or billing operations.
