TL;DR

Executive Assistant (AI): Providing strategic operational and administrative support to the Senior General Counsel and Legal & Compliance leadership team with an accent on complex calendar management, global travel coordination, and department operations. Focus on leveraging AI-enabled technologies and automation tools to streamline workflows, enhance productivity, and drive execution of key strategic initiatives.

Location: Must be based in Richmond, VA (Onsite)

Salary: $33.15/hr - $45.58/hr (approx. $68,952 - $94,806 annually) plus 10% incentive

What you will do

  • Provide proactive executive-level support including complex calendar management across time zones and travel coordination.
  • Draft executive correspondence, prepare briefing materials, and track strategic action items.
  • Manage department templates, document repositories, and knowledge management resources.
  • Coordinate outside counsel billing, invoice processing, and vendor administration.
  • Utilize AI tools like Microsoft Copilot and ChatGPT to automate workflows, draft documents, and generate meeting summaries.
  • Facilitate cross-functional initiatives and coordinate leadership meetings and department events.

Requirements

  • 5+ years of experience supporting senior executives.
  • US Work Authorization required (no visa sponsorship).
  • Advanced proficiency with Microsoft 365, Adobe Acrobat, and enterprise collaboration platforms.
  • Proven experience using AI-enabled productivity tools for automation and scheduling.
  • Demonstrated ability to handle highly confidential and privileged information with discretion.
  • Strong written and verbal communication skills with experience in project coordination.

Nice to have

  • Bachelor's degree or equivalent experience.
  • Background in Legal, Financial Services, Insurance, or other highly regulated industries.
  • Experience supporting Board of Directors operations and governance processes.
  • Track record of implementing process improvements or automation solutions.
