Onboarding Specialist (AI)

Location: Austin, TX; hybrid. Work in the office 4 days per week during the first week and 3 days per week after successfully completing new hire training. Working hours are 8:00 am to 5:00 pm local time.

What you will do

• Manage up to 50 active client projects simultaneously from kickoff through website launch.
• Run 3–4 client Zoom calls per day, lasting 45–60 minutes, to gather input, set expectations, and move projects forward.
• Translate client vision into actionable steps for internal teams while ensuring accuracy and quality.
• Monitor project timelines, proactively address delays and blockers, and coordinate website launches.
• Coordinate with the Product Fulfillment Team to build and connect IDX feeds.
• Document client interactions and tasks in Salesforce; contribute to process improvements, product rollouts, and team training or mentorship.

Requirements

• 0–2 years of experience in software implementation, media agency work, or creative/client operations.
• Experience coordinating client calls, meetings, and projects in a fast-paced environment.
• Strong empathy for clients and a high standard for the client experience.
• Ability to think on your feet and find solutions when plans change.
• Ability to understand design quality and clearly articulate details to clients.
• Ability to organize yourself and clients across a high-volume workload, remain composed in complex situations, and learn new tools and technologies quickly.
• Ability to explain technical complexity to non-technical clients with patience and clarity.
• Collaborative approach and willingness to help teammates without being asked.
• Must be located in Austin, TX and able to work in the office according to the hybrid schedule.

Nice to have

• Familiarity with Squarespace, Shopify, or WordPress.
• Interest in luxury real estate; genuine passion is an advantage.
