What you will do

  • Maintain daily operational workflows and support the owner with administrative coordination.
  • Ensure data accuracy across CRM, Excel, and other platforms to prevent reporting or billing errors.
  • Process invoices, manage accounts receivable, and collaborate with accounting on financial records.
  • Monitor crew schedules and job progress, identifying conflicts or delays proactively.
  • Manage inbound leads and client communications to prevent pipeline stagnation.
  • Prepare reports, proposals, and assist with vendor and contract research.

Requirements

  • Must be based in Colombia, Mexico, Argentina, Brazil, or Costa Rica.
  • Must be available to work during U.S. Business Hours (EST).
  • Proven experience in operations coordination, administrative support, or billing.
  • High proficiency in Microsoft Office Suite (Excel, Outlook, Teams, OneDrive).
  • Strong attention to detail and ability to work independently with minimal supervision.
  • Experience with CRM systems and professional email management.
