TL;DR
Operations Associate (HubSpot): Managing and executing a high-value deal pipeline within HubSpot CRM with an accent on relentless follow-through, CRM data integrity, and operational support. Focus on converting raw data into actionable reports and ensuring zero drop-offs in long-cycle deal communication.
Location: Remote. Must be based in South Africa or Latin America and available to work EST hours.
What you will do
- Manage the deal pipeline in HubSpot CRM, tracking inbound interest, responses, and follow-ups.
- Execute consistent communication across long deal cycles (6–12 months) to ensure no tasks are missed.
- Maintain clean CRM data, including detailed notes, deal stages, and next steps.
- Update Excel deal tracking templates and convert raw data into clean summaries, reports, and visuals.
- Coordinate meetings, calendars, and deal-related calls.
- Support the preparation of pitch materials and client-facing documents.
Requirements
- Hands-on experience with HubSpot (deal tracking, tasks, and follow-ups).
- Intermediate proficiency in Excel and Google Sheets (formatting, templates, and basic data handling).
- Strong written English for independent follow-up communication.
- Must be based in South Africa or Latin America.
- Ability to work during EST hours.
- High attention to detail and discipline in repetitive, structured operational work.
Nice to have
- Exposure to Finance, M&A, or Investment Banking environments.
- Experience supporting founders or senior executives.
- Familiarity with pitch decks and data visualization tools.
- Experience with CRM workflows or automation.
