TL;DR

Operations Associate (HubSpot): Managing and executing a high-value deal pipeline within HubSpot CRM with an accent on relentless follow-through, CRM data integrity, and operational support. Focus on converting raw data into actionable reports and ensuring zero drop-offs in long-cycle deal communication.

Location: Remote. Must be based in South Africa or Latin America and available to work EST hours.

What you will do

  • Manage the deal pipeline in HubSpot CRM, tracking inbound interest, responses, and follow-ups.
  • Execute consistent communication across long deal cycles (6–12 months) to ensure no tasks are missed.
  • Maintain clean CRM data, including detailed notes, deal stages, and next steps.
  • Update Excel deal tracking templates and convert raw data into clean summaries, reports, and visuals.
  • Coordinate meetings, calendars, and deal-related calls.
  • Support the preparation of pitch materials and client-facing documents.

Requirements

  • Hands-on experience with HubSpot (deal tracking, tasks, and follow-ups).
  • Intermediate proficiency in Excel and Google Sheets (formatting, templates, and basic data handling).
  • Strong written English for independent follow-up communication.
  • Must be based in South Africa or Latin America.
  • Ability to work during EST hours.
  • High attention to detail and discipline in repetitive, structured operational work.

Nice to have

  • Exposure to Finance, M&A, or Investment Banking environments.
  • Experience supporting founders or senior executives.
  • Familiarity with pitch decks and data visualization tools.
  • Experience with CRM workflows or automation.
