What you will do
- Support management with complex calendaring, travel arrangements, and professional correspondence.
- Manage daily office operations, including facilities coordination, catering logistics, and event setup.
- Act as the primary point of contact for routine and non-routine inquiries with diplomacy and urgency.
- Track projects and deliverables using collaboration tools such as Asana and Slack.
- Prepare, format, and organize confidential documentation.
- Continuously improve administrative workflows by adopting new technologies, including AI tools.
Requirements
- 3+ years of experience in an administrative or office operations role, with the ability to work independently and take initiative.
- Expert-level knowledge of Microsoft Windows and Office Suite (Outlook, Word, Excel).
- Experience with (or strong willingness to learn) Asana, Slack, and Google Workspace.
- Ability to manage competing priorities while maintaining professionalism, tact, and goodwill in a fast-paced environment.
- In-person availability is required to ensure smooth office operations.
Nice to have
- Experience using AI/LLM tools to streamline daily tasks or improve process efficiency.
- Basic scripting, coding, or data-oriented tools experience (e.g., R, Python, or API-based automation).
- Track record of planning and coordinating office events or team meetings.
