TL;DR
Special Event Assistant (Administration): Supporting event coordination, sponsorship management, and operational logistics for a leading enterprise organization with an accent on project organization and cross-functional communication. Location: Onsite in Chicago, Illinois. Must be eligible to work in the U.S. (no sponsorship available, no C2C)

What you will do
- Support the planning and execution of internal and external sales events, team meetings, and regional programs.
- Coordinate logistics, timelines, and cross-functional communication to ensure successful event delivery.
- Manage sponsorship requests, approvals, ticket allocations, and track event deliverables.
- Handle expense tracking, reconciliation, and partner with finance and procurement teams.
- Manage team sales calendars and coordinate scheduling across multiple stakeholders.
- Draft team communications and maintain project trackers and reporting tools.
Requirements
- Previous experience supporting events, marketing programs, or administrative operations.
- Strong proficiency with Microsoft Office Suite (Excel, PowerPoint, Outlook, Teams).
- Must be eligible to work in the U.S. (no sponsorship available).
- Ability to work onsite in Chicago, IL (Tuesday–Thursday, 8:00 AM–4:00 PM).
- Exceptional organizational, time-management, and written/verbal communication skills.
- High attention to detail and ability to work independently after onboarding.
Nice to have
- Experience with event management platforms such as Cvent, Stova, or EventAirs.
