TL;DR

Document Controller (Facilities): Managing document administration and workflows for engineering, production, and infrastructure projects with an accent on Procore DMS and change control processes. Focus on implementing filing structures, managing contractor compliance, and ensuring facility records are accurate and up-to-date.

Location: Abingdon, UK. Must work in the office 4+ days per week.

What you will do

  • Manage the Procore Document Management System (DMS), including file setup, workflows, and quality compliance.
  • Record and manage change control processes for the facility's transition to an R&D and manufacturing center of excellence.
  • Handle onboarding for contractors, suppliers, and consultants, including issuing NDAs and contracts.
  • Liaise with Finance and Project Managers to manage PO records, contractor payments, and facilities budgets.
  • Coordinate with USA and UK legal teams on contractual and employment issues for external workers.
  • Maintain records for facility machinery, including drawings, warranties, and O&M manuals.

Requirements

  • Extensive administration experience in fast-paced, technical environments.
  • Proven track record as a Document Controller with deep proficiency in Procore.
  • Proficiency in Microsoft Office Suite and PDF editing tools.
  • Based in or able to work from the Abingdon office (4+ days per week).

Nice to have

  • Fundamental experience with AutoCAD.
