TL;DR

Document Management Specialist: Execute and oversee day-to-day records and information management for ASBP with an accent on electronic and hard-copy filing systems, file plans, record transfers, and compliance with DHA and NARA requirements. Focus on supporting audits, freezes, digitization, and providing guidance to maintain audit-ready records.

Location: Onsite in Falls Church, VA. Public Trust clearance required. Travel up to 10%.

What you will do

  • Maintain official electronic and hard-copy records in DHA systems like EFS and RMST.
  • Prepare and submit annual file plans to CRMO for approval.
  • Ensure proper labeling, organization, boxing, inventory, and transfer of records to Federal Records Centers.
  • Support record freezes, searches, audits, and responses to inquiries.
  • Ensure digitization complies with NARA standards and track unauthorized record handling.
  • Provide guidance to staff on records policies and support transition activities.

Requirements

  • Bachelor’s degree in records management, information management, library science, or administration.
  • Minimum 3 years of experience in records, document management, or information governance.
  • Experience with electronic records systems and structured filing.
  • Familiarity with Federal records management or NARA requirements preferred.
  • Strong attention to detail, organization, and compliance mindset.
  • Ability to manage sensitive information in a regulated Federal environment. Public Trust clearance required.
