What you will do
- Manage investor administration, including record-keeping, account inquiries, and tax-season coordination.
- Prepare materials and coordinate scheduling for board meetings, partner calls, and portfolio company check-ins.
- Coordinate documentation and track signatures across portfolio companies and external advisors.
- Draft and distribute investor communications, such as quarterly updates and capital call support.
- Build and maintain a central operating tracker and document recurring workflows into repeatable SOPs.
- Leverage AI tools (Claude, Notion, Airtable, Linear) to automate manual processes and streamline operations.
Requirements
- 2-5 years of experience in administration, operations, project coordination, or executive support.
- Exceptional organizational skills and an obsessive attention to detail.
- Strong written communication skills with a high degree of accuracy.
- Experience managing external stakeholders and holding them to strict timelines.
- Ability to thrive in a small firm with fluid and pragmatic role boundaries.
- Tech-native mindset with proficiency in modern tooling and AI for workflow automation.
