Location: Remote (U.S. Business Hours / EST Required)

What you will do

  • Maintain daily operational workflows and support the Owner with administrative coordination tasks.
  • Manage and update records inside CRM, Excel, OneDrive, and CompanyCam to ensure data accuracy.
  • Process invoices, follow up on outstanding payments, and coordinate with accounting for financial records.
  • Monitor crew schedules and job progress using Aspire and Azuga to identify conflicts or delays.
  • Manage inbound leads and client communications, ensuring the pipeline is consistently updated.
  • Prepare reports, proposals, and responses to RFPs, and conduct vendor or municipal contract research.

Requirements

  • Proven experience in operations coordination, administrative support, invoicing, or billing.
  • High proficiency in Microsoft Office Suite (Excel, Outlook, Word, Teams, OneDrive).
  • Experience working with CRM systems (Aspire experience is a plus).
  • Strong written communication skills and professional email management ability.
  • Ability to work during U.S. Business Hours (EST required).
  • High attention to detail and the ability to work independently with minimal supervision.
