Senior Proposal Specialist (Healthcare)

Location: Fully remote within the United States; not eligible for hire in Alaska, California, Colorado, Hawaii, New York, or Washington. About 5% travel required.

Salary: $90,000–$105,000 annually, plus benefits and bonus.

What you will do

• Manage RFPs, RFIs, proposal requests, security assessments, compliance questionnaires, vendor assessments, and customer due diligence from intake through submission or completion.
• Partner with Sales, Solutions, Product, Clinical, Legal, Information Security, Compliance, and other subject-matter experts to understand requirements, assign ownership, and coordinate deadlines.
• Create project plans, workback schedules, milestones, review cycles, approvals, status updates, and risk escalations.
• Assemble, format, edit, and quality-check responses for accuracy, completeness, consistency, readability, and compliance with customer instructions.
• Use approved content libraries, prior responses, documentation, and AI tools to develop and tailor first drafts while validating outputs against authoritative sources.
• Maintain request tracking and response history, resolve content gaps and inconsistencies, and improve workflows, templates, content reuse, and quality-control practices.

Requirements

• 4+ years of experience in proposal management, project management, sales operations, or a related role involving complex, deadline-driven deliverables.
• Experience supporting large, complex RFPs in healthcare, health technology, or enterprise SaaS.
• Exceptional organization and attention to detail, including the ability to track deadlines, manage competing priorities, and follow through on deliverables.
• Experience coordinating cross-functional contributors and managing multiple projects or requests simultaneously.
• Strong written communication, editing, synthesis, stakeholder management, critical-thinking, and risk-escalation skills.
• Ability to use documentation, content libraries, prior responses, and other source materials to develop and tailor first drafts.
• Ability to learn technical and business concepts quickly, work independently, and collaborate across a matrixed organization.
• Comfort working in a fast-paced, evolving environment with changing priorities and processes.
• Proficiency with Responsive (RFPIO), Google Suite, and Microsoft Office.

Nice to have

• Experience maintaining a centralized proposal content library, knowledge repository, or reusable response database.
• Familiarity with information security, privacy, compliance, or technical due diligence processes.
• Experience using AI tools for research, first drafts, content reuse, or response workflow improvement.
• Experience with Slack, Salesforce, Adobe, or Monday.com.
