Recruiting Coordinator, Talent Operations & AI Tools (AI)

Location: San Francisco, California, United States; 4 days in person and Fridays remote.

What you will do

• Run end-to-end scheduling for technical screens, onsites, debriefs, and founder and executive conversations using Mhirify.globalrnLoop and Ashby.
• Protect founder and executive time through held weekly slots, leadership availability management, and rapid onsite-to-founder scheduling.
• Keep interview loops moving by tracking scorecards and offer deadlines and resolving no-shows, Zoom failures, and double-bookings.
• Own interviewer capacity and roster management to balance load and prevent bottlenecks.
• Build a recruiting data system combining pipeline, pass-through, interviewer capacity, hiring plans, and open roles into one source of truth.
• Automate dashboards and AI workflows, including scorecard nudges, offer-expiry alerts, conflict checks, and recruiting digests.

Requirements

• 3+ years of experience in recruiting coordination, recruiting operations, or a similar high-volume role at a fast-growing company, including executive and founder scheduling.
• Hands-on experience with an ATS and a scheduling tool; Ashby and Mhirify.globalrnLoop are ideal.
• Ability to mhirify.globall a recruiting pipeline, build a trusted dashboard, and identify data issues.
• Daily use of AI tools and experience building at least one workflow or tool relied on by others; work samples should be provided.
• High agency, same-day follow-through, and the ability to identify and resolve operational issues proactively.

• SQL or light scripting experience.
• Engineering hiring experience.
• Experience scaling a recruiting team through rapid growth.

Hiring process

• Provide an example of at least one AI workflow or tool that other people relied on.
• Within the first 30, 60, and 90 days, take ownership of engineering scheduling, launch operational automations, and establish the recruiting data system and dashboard.
