Accounts Receivable and Collections Specialist

Location: San Ramon, California, USA; office-based role with standard computer and phone work.

Salary: $30–$38 per hour in California; eligible for overtime and hirify.global benefits.

What you will do

• Prepare and send accurate customer invoices based on contracts, deployment schedules, service delivery, and seasonal pollination cycles.
• Maintain customer accounts, billing terms, and contract details in NetSuite; apply sales tax and manage exemption certificates, credit memos, and billing adjustments.
• Apply daily customer payments across ACH, wire, check, and card; resolve unapplied cash, short payments, and overpayments.
• Manage collections from initial reminders through escalation, monitor aging, resolve disputes, and recommend credit holds, payment plans, write-offs, and customer terms.
• Reconcile the AR subledger to the general ledger, support month-end close, and provide weekly aging, collections, cash forecast, DSO, audit, and account-risk reporting.
• Automate invoicing, payment reminders, dunning, cash matching, dispute research, and customer correspondence using NetSuite, connected tools, and AI with appropriate review controls.

Requirements

• 3+ years of accounts receivable, billing, or collections experience in a B2B environment.
• Hands-on experience with NetSuite or a comparable ERP.
• Working knowledge of month-end close, AR reconciliation, and sales tax on invoices.
• Proven results reducing past-due balances and DSO.
• Confident, professional communication skills for direct payment conversations while maintaining customer relationships.
• Advanced Excel skills, including lookups, pivot tables, and aging analysis.
• Consistently accurate work with documentation suitable for audits.
• Experience automating manual steps with system workflows, integrations, or AI tools.
• Associate's or bachelor's degree in accounting, finance, or business, or equivalent experience.

• Experience billing contract-based, subscription, or seasonal revenue.
• Experience in agriculture, ag-tech, or hardware with service contracts.
• Experience with AR automation tools, payment portals, or billing platforms.
• Spanish proficiency.
