AI Project Manager

Location: Home Office Finland; other locations: Warsaw and Home Office Spain. Hybrid workplace.

What you will do

• Own the editorial cycle of the AI update newsletter, curate the AI Hub, coordinate AI content for corporate channels, and maintain the shared AI communications calendar.
• Run AI webinars and events, including programming, speaker preparation, logistics and follow-up.
• Build the external speaking-opportunity pipeline, prepare speakers and materials, coordinate AI white papers and publications, and manage relationships with research and academic partners.
• Build and maintain the AI partnership and acquisition funnel, perform first-pass screening, coordinate AI-side assessments, and maintain relationships with partners and vendors.
• Lead assigned AI initiatives end to end, bring structure to ambiguous work, facilitate decision-making forums, and represent AI in cross-functional programmes.
• Work with Communications, Strategy, M&A, Legal, product and experimentation teams, operating companies and central functions.

Requirements

• Bachelor’s or Master’s degree in Business Administration, Communications, Engineering, Computer Science, Data Science or a related field.
• 4+ years of professional experience in project, programme or initiative management in a digital, technology or innovation context, including at least 2 years connected to AI, data or digital transformation topics.
• Experience in corporate or B2B communication, including newsletters, webinars, content platforms, website content or campaign coordination, working with or within a communications function.
• Experience preparing executive-level and external-facing materials and supporting senior colleagues in public representation.
• Exposure to partnership management, vendor evaluation, corporate development or M&A support activities.
• Experience working across multiple stakeholders and business units, preferably in multi-country or federated environments.
• Familiarity with AI concepts and the current AI landscape, sufficient to translate technical work for business or public audiences.
• Hands-on experience with Jira, Confluence, SharePoint and content or intranet platforms.
• Excellent written English; strong stakeholder management, project management, facilitation, documentation, editorial and governance skills; ability to structure ambiguous problems and drive decisions.
• Proactive, collaborative, organised, flexible and pragmatic approach; ability to operate without formal authority, manage multiple tasks, make data-driven decisions and pursue improvement and innovation.

Nice to have

• Project management certification such as PMP, PRINCE2 or Agile/Scrum.
• Additional coursework or certification in AI/ML, communications or digital transformation.
• Experience in education, publishing, EdTech or with research institutions.
