Onboarding Program Manager (AI)

Location: San Francisco, California, United States; hybrid with at least two days in the office each week, including all programming days

Annual salary: $240,000–$240,000 USD

What you will do

• Own weekly onboarding cohorts from pre-arrival readiness through program close.
• Facilitate live onboarding sessions and keep each cohort on schedule and aligned with program goals.
• Brief, prepare, and support presenters, panelists, and backup facilitators.
• Coordinate Recruiting, People Services, Workplace, IT, AV, and other stakeholders to align start dates, devices, rooms, catering, and communications.
• Maintain operating rhythms, run-of-show documents, checklists, playbooks, and automations for repeatable delivery.
• Track feedback and program metrics, identify friction points, and improve onboarding content and operations.

Requirements

• Extensive experience delivering recurring programs, event series, or training programs with multiple stakeholders.
• Advanced experience facilitating or presenting to large groups in person and virtually.
• Strong project management skills, including timelines, trackers, and checklists using Google Workspace or similar tools.
• Working proficiency with Slack and Google Workspace.
• Exceptional written and verbal communication for audiences ranging from new hires to senior leaders.
• Ability to coordinate across teams without formal authority and meet fixed recurring deadlines.

Nice to have

• Experience running onboarding, orientation, or learning and development programs in a fast-growing organization.
• Experience scaling program cadence or volume while maintaining quality.
• Experience building workflows or automations with AI tools such as Claude.
• Familiarity with survey tools such as Qualtrics, feedback analysis, and program reporting.
• Experience managing a rotation of presenters, facilitators, or volunteer contributors.
