Program Coordinator, Medical Communications (Medical Communications): Coordinating medical communications projects across departments, including MLR submissions, client updates, meeting planning, invoicing reviews, and reporting with an accent on project tracking, regulatory coordination, and pharmaceutical meeting logistics. Focus on managing multiple concurrent projects, identifying workflow obstacles, and coordinating deliverables, vendors, and stakeholders.

Location: Remote, United States. Candidates must be legally authorized to work in the United States without employer sponsorship.

Salary: $41,600–$62,400 USD annually.

What you will do

  • Track project deliverables, deadlines, workflow obstacles, and status updates across departments.
  • Coordinate the medical, legal, and regulatory review process, including submissions and communication with clients, supervisors, and project teams.
  • Coordinate internal and external meetings, document meeting notes, and distribute project updates.
  • Review invoicing documents and final reconciliations, and prepare Sunshine Act and ancillary reports under program manager supervision.
  • Coordinate meeting planning with logistics vendors, including site searches, venue contracts, travel, food and beverage, and audiovisual equipment.
  • Prepare assignment reports and facilitate assignment team meetings.

Requirements

  • Bachelor’s degree, ideally in advertising, marketing, communications, or journalism; other majors may be considered.
  • 0–2 years of experience in a client service or agency environment, or relevant internship experience.
  • High computer competency and intermediate or advanced proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, Microsoft Project, and Outlook.
  • Strong written and verbal communication skills.
  • Must be legally authorized to work in the United States without employer sponsorship.

Nice to have

  • Working knowledge of timeline and schedule development.
  • Experience supporting a project manager or marketing team with coordination and deadline tracking.
