TL;DR
HR Operations Specialist (EMEA) (HR Operations): Running and scaling end-to-end HR operations across multiple EMEA countries with an accent on payroll, benefits, HRIS administration, employee data protection, and compliance. Focus on designing scalable processes, improving HR service delivery, coordinating immigration and external providers, and turning HR data into actionable insights.

Location: Kraków, Poland; hybrid role with 3 days per week in the Kraków office

What you will do

  • Run end-to-end HR operations across multiple EMEA countries, including onboarding, probation, contract changes, transfers, leave, absence, offboarding, and employee records.
  • Manage employee and manager queries through the HR ticketing process and develop self-service guidance.
  • Prepare and reconcile monthly payroll inputs and administer benefits enrolments and changes.
  • Own EMEA HRIS data, workflows, access, testing, and system improvements.
  • Design, document, and improve scalable HR processes, policies, templates, and service metrics.
  • Coordinate GDPR, right-to-work and immigration processes, vendors, local compliance, audits, reporting, and cross-functional improvement projects.

Requirements

  • Solid HR operations experience across several EMEA countries, including France, Germany, the UK, Poland, and Romania.
  • Working knowledge of European employment practices and experience preparing payroll inputs and administering benefits in multiple countries.
  • Experience building or improving HR processes and configuring or improving an HRIS.
  • Practical knowledge of GDPR for employee data and experience managing EOR/PEO, payroll, benefits, or other external providers.
  • Strong analytical skills with Excel or Google Sheets, including lookups, pivot tables, HR data, and reporting.
  • Fluent Polish and English required.

  • Experience with Rippling, Bonusly, or Checkr.
  • Experience in a technology, software, or fast-growing international business.
  • Process improvement or project management experience or training.
