CES Program Assistant (European Studies): Coordinating research-centre administration, grant and fellowship competitions, academic programming, communications, and financial activities at the Centre for European Studies with an accent on event planning, stakeholder coordination, reporting, and budget tracking. Focus on managing complex workflows independently, maintaining digital communications and records, and supporting funded projects with accurate financial and program reporting.

Location: hirify.global Vancouver Campus, Vancouver, BC, Canada

Salary: $4,881.00–$5,255.00 CAD monthly

What you will do

  • Provide independent administrative, logistical, clerical, and technical support to the Centre for European Studies Director and programs.
  • Coordinate executive council, steering committee, faculty affiliate, shirify.globalommittee, and working-group meetings.
  • Administer fellowship and research group grant competitions, including applicant communications, evaluation materials, and adjudication scheduling.
  • Plan and coordinate speaker series and other events, including selected activities outside regular business hours.
  • Maintain the website, social media presence, newsletters, mailing lists, promotional materials, and integrated events calendar.
  • Reconcile expenses, purchases, transfers, payroll, cost recoveries, grants, budgets, and financial forecasts.

Requirements

  • High school graduation, a two-year post-secondary diploma, and four years of related experience, or an equivalent combination of education and experience.
  • Experience with office procedures, records and filing systems, scheduling, correspondence, and administrative coordination.
  • Computer experience with Word, Excel, web, database, scheduling, and electronic mail applications; knowledge of SIS, SISC, and FSC is preferred.
  • Strong written and oral communication skills, accuracy, attention to detail, and the ability to maintain records and prepare meeting minutes.
  • Ability to work independently and collaboratively, prioritize changing tasks, exercise initiative and discretion, and meet deadlines under pressure.
  • Commitment to respecting diverse perspectives and developing knowledge and skills related to equity, diversity, and inclusion.

Nice to have

  • Undergraduate degree in a relevant discipline.
  • Knowledge of European studies.
  • Experience delivering high-level customer, client, or guest service.
  • Typing speed of 60 words per minute.
