TL;DR
Executive Assistant/Business Analyst (Gov't Tech): Supporting HHS financial systems leadership through executive scheduling, meeting preparation, document control, business analysis, and office operations with an accent on executive readiness, process documentation, and stakeholder coordination. Focus on building trackers and dashboards, reviewing decision-ready materials, coordinating signatures and follow-ups, and evaluating automation and AI-assisted workflows.

Location: Washington, DC; on-site work at the HHS Hubert H. Humphrey Building

Base compensation range: $50,000–$60,000 per year

What you will do

  • Manage executive calendars, meeting requests, scheduling, agendas, briefing materials, conference rooms, and technology support.
  • Prepare briefings, presentations, reports, correspondence, talking points, and decision-support summaries.
  • Attend meetings, capture decisions and action items, and track owners and deadlines.
  • Control documents requiring executive review, approval, or signature and perform quality assurance on communications.
  • Maintain trackers, dashboards, workflows, and Standard Operating Procedures for executive operations and recurring processes.
  • Coordinate contractors, vendors, candidates, visitors, facilities requests, office operations, and international travel GFE.

Requirements

  • U.S. citizenship required for HHS systems access and ability to obtain and maintain a Public Trust clearance.
  • Bachelor’s degree in business, public administration, communications, or a related field, or equivalent experience.
  • 0–2 years of administrative, office, or analytical experience, including internships, co-ops, or student roles.
  • Working proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Strong organization, writing, proofreading, communication, discretion, and follow-through skills.
  • Ability to work on site and perform incidental office tasks, including transporting supplies and lifting approximately 10–15 pounds.

Nice to have

  • Microsoft Office Specialist, IIBA ECBA, or PMI CAPM certification or interest in pursuing one.
  • Experience in a federal agency, government contractor, or professional services environment.
  • Familiarity with SharePoint, Jira, Confluence, MS Project, Microsoft Copilot, Power Automate, or advanced Excel functions.
  • Coursework in finance, accounting, public administration, or information systems.
