What you will do

  • Arrange business meetings and prepare meeting minutes for Regulatory Affairs and Marketing Authorization Holder activities.
  • Provide administrative support for office supplies, filing, business cards, postage, and phone coordination.
  • Create, process, and track purchase orders and invoices.
  • Coordinate domestic and international travel for Japan Regulatory Affairs members and global visitors.
  • Manage the Head of Japan Regulatory Affairs calendar, schedules, and expense reports.
  • Support communications, onboarding, hiring, interviews, and operational activities for regulatory and safety teams in Japan.

Requirements

  • Relevant degree or related discipline.
  • At least 5 years of experience as a Group Administrator or Administrative Coordinator in a global company, preferably in pharmaceuticals.
  • Strong organizational, multitasking, prioritization, judgment, communication, and interpersonal skills.
  • Strong verbal and written communication skills in Japanese and English.
  • Experience with Microsoft Word, Excel, PowerPoint, and Outlook.
  • Ability to handle sensitive information discreetly and support the establishment of new local entities.
