Location: Brookline, Massachusetts, United States; hybrid work with 2–3 days onsite per week

What you will do

  • Oversee daily operations for new and established patient scheduling teams.
  • Lead recruitment, onboarding, training, coaching, performance evaluations, and personnel management for scheduling and records staff.
  • Coordinate complex appointments, patient intake, records collection, message management, and scheduling escalations.
  • Monitor staff performance metrics, operational KPIs, billing processes, and patient service standards.
  • Develop process improvements, maintain workflow documentation, and collaborate with clinical, administrative, and operational stakeholders.
  • Troubleshoot operational, telecommunications, hardware, software, and system access issues, including Epic-related support.

Requirements

  • Bachelor’s degree required, preferably in Health Administration or a related field.
  • At least 5 years of related healthcare and/or customer service experience.
  • Previous supervisory experience and ability to directly manage scheduling staff.
  • Strong organizational, communication, customer service, conflict management, decision-making, and problem-solving skills.
  • Knowledge of Microsoft Office, CRM systems, electronic fax systems, and Epic.
  • Ability to work onsite in Brookline, Massachusetts, 2–3 days per week.
