What you will do

  • Oversee daily scheduling operations and supervise 12–15 Clinical Scheduling Specialists and Protocol Schedulers.
  • Develop staff schedules, contingency plans, training programs, performance evaluations, and corrective actions.
  • Manage scheduling workflows, priorities, deadlines, complex appointments, procedures, and imaging coordination.
  • Partner with providers, administrative directors, disease center leaders, clinical directors, and patient-facing teams.
  • Monitor KPIs, quality standards, billing and revenue processes, HIPAA compliance, and patient contact experience.
  • Troubleshoot information systems, telecommunications, hardware, software, and escalated patient scheduling issues.

Requirements

  • High school diploma required; a bachelor's degree in health administration or a related field is strongly preferred.
  • At least 4 years of related healthcare and/or customer service experience.
  • At least 1 year of supervisory experience or 1 year as an internal Clinical Scheduling Lead.
  • Strong organizational, communication, analytical, critical-thinking, decision-making, leadership, and personnel-management skills.
  • Knowledge of Microsoft Office, CRM systems, Epic, information systems, and operational reporting.
  • Ability to work in a hybrid arrangement with 2–3 onsite days per week in Boston, Massachusetts.
