Location: Knoxville, TN, USA; on-site. The Administration and HR Office must be covered from 8:00 a.m. to 5:00 p.m., Monday through Friday.

What you will do
- Manage and prioritize complex calendars, meetings, appointments, external engagements, and communications for the Dean, Senior Associate Dean, and Associate Deans.
- Serve as the primary liaison with university leadership, library faculty and staff, students, alumni, donors, community partners, and professional organizations.
- Coordinate executive travel, including airfare, lodging, transportation, registrations, itineraries, documentation, reimbursements, and expense reporting.
- Plan library events, receptions, retreats, meetings, and special programs, including facilities, catering, technology, vendors, registration, budgets, and attendee communications.
- Research confidential and strategic matters and prepare reports, presentations, agendas, minutes, briefing materials, talking points, and follow-up communications.
- Maintain administration systems and resources, including SharePoint and Teams sites, calendars, mailing lists, organizational charts, office supplies, and student assistant scheduling.
Requirements
- High school diploma or GED with four years of relevant experience, or an equivalent combination of education, training, and experience.
- Experience supporting senior-level directors, executives, Deans, or Associate Deans.
- Strong organizational, project management, communication, research, reporting, and problem-solving skills.
- Demonstrated independent judgment and discretion when handling highly confidential information.
- Advanced proficiency with Microsoft Office Suite, Outlook, Teams, SharePoint, and related administrative technologies.
- Must be legally authorized to work full-time in the United States without requiring current or future employment-based visa sponsorship.
Nice to have
- Bachelor’s degree with two years of relevant experience.
- CAP certification or experience in higher education and UT policies and procedures.
- Experience with Oracle (DASH), Adobe Creative Suite, Canva, or Zoom.
