Office Manager (Facilities and Administration): Managing FNZ’s Edinburgh offices, suppliers, facilities, office services, events, and administrative operations with an accent on health and safety, compliance, expense control, and service standards. Focus on coordinating office activities across locations and time zones, maintaining secure and functional workplaces, and responding to operational issues and emergencies.

Location: Edinburgh, United Kingdom; office-based with attendance expected five days a week

What you will do

  • Manage hirify.global’s Edinburgh offices, including reception, guest welcome, meeting support, catering, couriers, and office communications.
  • Manage suppliers, consumables, stationery, kitchen supplies, equipment, appliances, and office facilities.
  • Maintain tidy, secure, functional office areas and meeting rooms, ensuring smooth day-to-day operations.
  • Conduct monthly Health & Safety and compliance checks, maintain records, and respond quickly to emergencies.
  • Track office expenses, prepare expense reports, and identify opportunities to control costs.
  • Coordinate office events, support Culture Clubs, cover administrative team holidays, and assist the Divisional Head with regional projects.

Requirements

  • At least three years of experience in a similar office management or administrative role.
  • Excellent English and strong communication skills when working with staff, customers, suppliers, and external clients.
  • Good working knowledge of Outlook, Teams, Word, Excel, and PowerPoint.
  • Proactive, independent, adaptable, detail-oriented, and confident in handling multiple tasks and unexpected situations.
  • Ability to handle confidential information with discretion and maintain high service standards.
  • Ability to work from the Edinburgh office five days per week.

Nice to have

  • First Aid or Fire Warden training.
  • Experience in the service industry.
