Salary: $4,739.00–$5,102.00 CAD monthly

What you will do

  • Provide administrative support for the Internal Medicine Postgraduate Education Program.
  • Coordinate Academic Half Day logistics, curriculum calendars, speakers, facilities, and educational materials.
  • Plan and lead six annual OSCEs and Crucial Conversations examinations, including examiner recruitment, room bookings, station preparation, and schedule distribution.
  • Create and coordinate monthly CTU and Cross Coverage call schedules for residents and medical students across VGH, St. Paul’s Hospital, and Royal Columbian Hospital.
  • Coordinate resident review meetings, PGY4 educational activities, orientations, graduation events, and other program events.
  • Maintain accurate records, procedures, room bookings, hospital ID coordination, and confidential resident information.

Requirements

  • High school graduation and a two-year post-secondary diploma, plus four years of related experience, or an equivalent combination of education and experience.
  • Experience developing and coordinating complex schedules while balancing program requirements, individual requests, eligibility criteria, and competing priorities.
  • Experience coordinating examinations, assessments, educational events, or other large-scale academic activities.
  • Strong computer skills, including intermediate proficiency in Word, Excel, and Outlook, plus experience with Zoom and One45.
  • Excellent communication, interpersonal, organizational, prioritization, multitasking, and deadline-management skills.
  • Ability to work independently and collaboratively, transcribe minutes, maintain accuracy, and work a flexible schedule including early-morning or occasional evening meetings.

Nice to have

  • Experience in healthcare, medical education, post-secondary education, or a complex academic environment.
  • Experience coordinating with physicians, residents, fellows, students, and administrative staff.
