Location: Boston, Massachusetts, United States; hybrid work with 2–3 days onsite per week

What you will do

  • Provide high-level administrative and communications support to Vice Presidents and senior executives.
  • Manage complex executive calendars, anticipate conflicts, and coordinate meetings, presentations, room reservations, and audiovisual equipment.
  • Coordinate hiring and onboarding activities with leadership, HR, and hiring managers; track departmental employees, contractors, and consultants.
  • Organize department events, retreats, leadership meetings, and in-person gatherings, including speakers, hosts, and catering.
  • Prepare confidential documents and correspondence and coordinate complex domestic and international travel.
  • Process invoices, purchasing-card reconciliations, reimbursements, requisitions, and purchase orders while improving administrative workflows and service quality.

Requirements

  • High school diploma required; bachelor's degree preferred.
  • Five years of administrative experience.
  • Advanced knowledge of Microsoft Office Suite, Google Suite, Zoom, and Adobe.
  • Strong written and verbal communication, customer service, problem-solving, prioritization, and organizational skills.
  • Ability to handle confidential information professionally and work collaboratively with diverse stakeholders.
  • Ability to work onsite in Boston 2–3 days per week is required.
