Location: Los Angeles, California; Sacramento, California. Assignments may require onsite or remote work, frequent travel, short-notice travel, travel to foreign countries, and working hours that accommodate offices in different time zones.
Salary: $66,000–$116,160 annually for California positions; actual pay varies by experience, geographic location, and other job-related factors.

What you will do
- Provide temporary and backup secretarial and administrative support to attorneys, paralegals, and practice assistants across multiple offices.
- Support new office openings and large-scale attorney onboardings by managing matter openings, conflict-check information, file transfers, client files, and onboarding documents.
- Train and mentor newly hired office staff, primarily practice assistants, on firm systems, procedures, contacts, and resources.
- Prepare complex legal documents, correspondence, memoranda, revisions, redlines, and e-filings; proofread for formatting, spelling, and grammar.
- Manage calendars, files, mail, time entries, billing letters, expense reports, travel arrangements, meetings, and client communications.
- Assist with Preparis administration, firmwide initiatives, software pilots, workflow coordination, and other special projects.
Requirements
- 10+ years of experience as a practice assistant or legal secretary.
- Knowledge of legal terminology, legal documents, legal processes, firm procedures, and administrative workflows.
- Strong proficiency with MS Office, document management, time-entry, e-filing, and database software.
- Typing speed of at least 70 words per minute, excellent communication skills, and strong proofreading, grammar, spelling, and punctuation skills.
- Ability to work independently, manage multiple assignments, organize files and calendars, meet deadlines, and demonstrate leadership qualities.
- Ability and willingness to travel frequently, sometimes for consecutive weeks or on short notice, including traveling alone to foreign countries and working overtime as needed.
