TL;DR
Sample Entry Coordinator (Pharmaceutical Testing) (eLIMS/GMP): Managing the intake, verification, tracking, distribution, and archiving of pharmaceutical and cosmetic product samples with an accent on stability studies, analytical testing requirements, and laboratory compliance. Focus on maintaining accurate LIMS records, auditing samples against submission documents and SOPs, coordinating with clients and laboratory teams, and releasing samples before shift end.

Location: Toronto, Ontario, Canada; relocation to Mississauga, Ontario is expected in 2026. Laboratory-based work with standing for more than 50% of the time, shift work, overtime, and periodic weekends or evenings. Authorization to work in Canada is required.

Salary: CAD 40,000–43,000 per year

What you will do

  • Log incoming samples and maintain accurate sample information and inventory in eLIMS, LIMS, and stability databases.
  • Create product and stability study templates and verify client specifications, tests, labels, and submission documentation.
  • Coordinate with customers and laboratory staff to resolve missing or inaccurate information and deliver samples to the appropriate departments.
  • Audit booked samples against sample submission forms, labels, and current SOPs, correcting templates or escalating issues as needed.
  • Support stability coordination, sample archiving, GMP compliance, and timely release of samples to the laboratory.
  • Assist Quality Assurance with training procedures and implementations.

Requirements

  • 1–3 years of experience in the pharmaceutical, cosmetic, or natural health products industry.
  • Bachelor’s degree in science, preferably Chemistry, Biology, or Microbiology, Commerce, or equivalent technical and business experience.
  • Authorization to work in Canada.
  • Fluent English reading, writing, and speaking skills.
  • Understanding of USP, EP, and BP compendia, analytical chemistry, major test types, GMP, and ICH guidelines.
  • Computer proficiency, including Microsoft Outlook, Word, PowerPoint, and Excel; ability to work under pressure and additional hours when required.
