TL;DR
Patient Services Coordinator (Medical Oncology): Supporting patient reception, registration, scheduling, insurance documentation, payments, and administrative coordination in a medical oncology clinic with an accent on accurate patient communication, records handling, and appointment management. Focus on coordinating check-in and check-out workflows, maintaining patient information, routing clinical messages, and rescheduling missed or cancelled appointments.

Location: Onsite at the 1609 Hospital Parkway clinic in Bedford, Texas, United States. Full-time, Monday through Friday, 8:30 a.m.–5:00 p.m.

What you will do

  • Greet patients, visitors, and family members; check in patients and notify clinical staff of arrivals.
  • Provide, collect, review, and file patient paperwork while updating demographic and insurance information.
  • Collect co-pays and balances, issue receipts, and check patients out after examinations.
  • Register and schedule appointments, provide appointment instructions, and reschedule cancellations or missed visits.
  • Answer, screen, and route calls and messages accurately to appropriate clinical or administrative personnel.
  • Maintain patient charts, forms, office supplies, and an orderly lobby while following confidentiality and HIPAA requirements.

Requirements

  • High school diploma or equivalent required.
  • Computer proficiency and working knowledge of Microsoft Outlook, Word, and Excel required.
  • Level 2 requires at least 18 months of front medical office receptionist experience with insurance forms and scheduling software.
  • Senior level requires at least 5 years of front medical office receptionist experience with insurance forms and scheduling software.
  • Required e-learning courses must be completed within 90 days of starting the position.
  • Ability to work onsite in Bedford, Texas, interact frequently with patients and staff, and occasionally lift or move up to 30 pounds.

Nice to have

  • Receptionist or office experience for Level 1.
  • Knowledge of the practice’s personnel, daily routines, and scheduling procedures.
