Operations Coordinator (Retail & Wholesale Operations)

Location: Remote from Metro Manila, Philippines; working hours are Monday to Friday, 8:00 AM to 5:00 PM AEST.

Salary: AUD 1,600–1,800 per month, depending on skills and experience.

What you will do

• Check stock availability for incoming B2B and wholesale orders and escalate inventory gaps.
• Manage order confirmation workflows from sales order entry through on-time, in-full delivery.
• Process invoices against purchase orders and support month-end deadlines.
• Coordinate warehouse activities including product setup, launch briefs, promotions, activations, work orders, and fulfilment KPI tracking.
• Manage stock levels, bundles, kitting guides, SKU work orders, and product dispatches for influencers, retail samples, and PR.
• Maintain the Operations Handbook and support operations and customer service projects.

Requirements

• At least 3 years of experience in operations, supply chain, or logistics coordination, ideally in FMCG, retail, or eCommerce.
• Experience managing B2B or wholesale order workflows, including order entry, invoicing, and fulfilment tracking across multiple channels or markets.
• Experience managing inventory across multiple SKUs and markets and resolving stock discrepancies or stockout risks.
• Experience coordinating with third-party warehouses or 3PL partners, including product setup, work orders, and fulfilment KPI tracking.
• Advanced Microsoft Excel skills, including pivot tables, VLOOKUPs/XLOOKUPs, data validation, inventory tracking, reporting, and reconciliation.
• Strong communication, organisation, prioritisation, self-management, commercial awareness, and attention to detail.

• Experience with Cin7.
• Experience with EDI ordering.
