TL;DR
Client Operations Manager (Healthcare Records Operations): Managing assigned facility accounts, release-of-information workflows, staffing, scheduling, reporting, and client relationships with an accent on medical-records compliance, HIPAA privacy standards, and operational quality. Focus on coordinating onsite and remote personnel, reviewing authorization requests, maintaining service productivity, and providing coverage across assigned sites.

Location: Pittsburgh, PA, USA; onsite attendance at assigned accounts and travel to various facilities are required. This is not a remote position.

Salary: $65,000–$75,000 per year.

What you will do

  • Manage the efficient operation of assigned healthcare facility accounts and support facility revenue goals.
  • Coordinate client questions, release-of-information activities, workflow distribution, and service-agreement compliance.
  • Prepare dashboards and operational performance reports, analyze results, and monitor productivity, quality, and customer satisfaction.
  • Support the selection, interviewing, hiring, training, evaluation, counseling, and termination processes for site personnel.
  • Manage onsite staff scheduling, time-off requests, payroll approvals, supplies, and physical coverage across assigned sites.
  • Review medical-record requests, validate authorizations, capture and document records, calculate billing, and prepare invoices when needed.

Requirements

  • Prior supervisory experience and the ability to communicate effectively with clients, staff, and management.
  • Valid driver’s license, safe driving history, and ability to travel to various assigned accounts.
  • Knowledge of HIPAA privacy information standards is required.
  • RHIT certification or successful completion of an ROI Certification course with a score of at least 85% within 90 days is required.
  • Ability to report consistently with minimal unplanned schedule deviations.
  • Experience with medical records or healthcare is beneficial; a bachelor’s degree and medical terminology coursework are preferred.
