Medical PMO Coordinator (Pharmaceutical)

Location: Hybrid position with 2 days per week in the office.

What you will do

• Coordinate cross-functional medical projects, including planning, milestones, risks, dependencies, actions, deadlines, and status reporting.
• Organise meetings with internal teams, healthcare professionals, consultants, and external medical stakeholders, including agendas, minutes, and follow-up actions.
• Support medical contributions, procurement, vendor coordination, contracts, invoices, conference registrations, and budget reconciliation.
• Track and report Medical Information inquiries, Pharmacovigilance and Quality reconciliations, regulatory deadlines, and operational KPIs.
• Maintain project plans, compliance records, SOPs, repositories, quality-system data, and audit-ready documentation.
• Support onboarding for Medical team members through training coordination, IT setup, and guidance on internal tools and processes.

Requirements

• 5–10 years of experience in PMO, project coordination, project support, administrative coordination, medical operations, or a related role.
• Strong written and spoken English required.
• Experience coordinating multiple projects, stakeholders, activities, and deadlines simultaneously.
• Strong organisation, planning, time management, follow-up, communication, and attention-to-detail skills.
• Experience maintaining trackers, reports, meeting documentation, action lists, and operational records.
• Confidence using Microsoft Office 365, especially Excel, PowerPoint, Word, Outlook, and digital collaboration tools.

Nice to have

• Experience in pharmaceutical, biotechnology, medical device, healthcare, or life sciences environments.
• Experience supporting Medical Affairs or Medical Operations teams.
• Exposure to compliance, quality, pharmacovigilance, regulatory processes, audits, or regulated documentation.
• Experience with procurement, vendor management, invoice processing, budget tracking, or healthcare professional coordination.
• Familiarity with Quality Management Systems, Qualipso, risks, deviations, and change controls.
