TL;DR
Records Management Analyst (Financial Services): Managing physical and digital information assets across classification, retention, protection, accessibility, and defensible disposition with an accent on regulatory compliance, data governance, and enterprise records lifecycle controls. Focus on maintaining retention schedules, mapping data flows and repositories, coordinating compliant archiving and destruction, and developing governance metrics and reporting.

Location: Toronto Office at 483 Bay Street, moving to 3 Robert Speck Parkway in Mississauga approximately late 2026; flexible hybrid schedule with remote, hybrid, and in-office options. Current work authorization for Canada is required.

Salary: CAD 85,000–101,000 total annual cash compensation, including base salary and target discretionary performance bonus.

What you will do

  • Support the enterprise Records & Information Management framework, operating model, controls, and maturity roadmap.
  • Implement and enforce records management policies, data classification standards, and retention and disposition procedures.
  • Maintain retention schedules and classification frameworks while reviewing business-unit practices for compliance.
  • Map data flows, repositories, and storage locations across physical and electronic environments.
  • Coordinate compliant retention, archiving, and destruction activities and oversee related third-party providers.
  • Advise business units, deliver training, and develop KPI/KRI dashboards and leadership reporting.

Requirements

  • Current authorization to work in Canada is required.
  • Three-year college degree or equivalent work experience.
  • At least 3 years of experience in records management, information governance, data privacy, or a related field.
  • Hands-on experience with records retention and disposition, physical and digital records lifecycle management, M365, SharePoint, and records repositories.
  • Experience supporting regulatory compliance and audit activities, with strong documentation, reporting, communication, and collaboration skills.
  • Ability to work independently, exercise judgment, and solve non-routine problems across data flows, technology environments, and operational processes.

Nice to have

  • Experience with data governance or privacy programs.
  • Background in financial services or another regulated industry.
  • Vendor management experience with physical or digital archiving solutions.
  • Knowledge of financial services products, processes, and industry requirements.
