What you will do

• Own end-to-end speaker logistics including onboarding, communication, travel coordination, and on-site support.
• Act as the primary point of contact for speakers from initial confirmation through post-event follow-up.
• Coordinate travel arrangements (flights, hotels, ground transportation) in alignment with budget and policies.
• Manage speaker schedules, session details, and rehearsal timelines to ensure smooth execution.
• Track and maintain accurate speaker records, contracts, bios, and presentation materials.
• Support on-site event execution, including speaker check-in and green room management.

Requirements

• 3+ years of experience in event operations, conference production, or speaker management.
• Proven experience supporting logistics for multi-speaker programs in B2B or large-scale conferences.
• Proficiency in the MS Office suite (Word, Excel, PowerPoint).
• Ability to travel up to 25% annually to support on-site operations.
• Must be based in the USA.
