TL;DR

Office Manager (Administration): Managing daily operations of the Oakville office including facility management, vendor relations, and employee engagement with an accent on operational efficiency and workplace safety. Location: Hybrid: Must be based in Oakville, ON (3 days/week in office: Tues, Wed, Thurs)

Compensation Range: $54,400 - $68,000

What you will do

  • Own the daily operations of the Oakville office, including facilities, vendors, and supplies.
  • Drive continuous improvement by identifying operational gaps and leading the implementation of fixes.
  • Manage vendor relationships, quotes, negotiations, and performance oversight.
  • Partner with IT to ensure meeting rooms and collaboration technology run smoothly.
  • Coordinate office events, onboarding logistics, and employee engagement initiatives.
  • Serve on the Joint Health & Safety Committee (JHSC) to champion a safe and compliant workplace.

Requirements

  • 3+ years of experience in an Office Manager, Workplace Experience, or senior administrative role.
  • Post-secondary diploma or equivalent hands-on experience.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Proven track record of spotting inefficiencies and implementing real solutions.
  • Excellent communication skills for building trust with colleagues and service partners.

Nice to have

  • Familiarity with AI tools like Claude or ChatGPT.
  • Experience with Concur, Jira, Adobe Acrobat, or similar business platforms.
  • Background in health and safety programs or workplace compliance.
  • Experience supporting office budgets and coordinating employee events.
