What you will do

  • Run daily office operations in Milan: reception, meeting/common areas, and incoming/outgoing mail.
  • Coordinate vendors and ensure office supplies, food, and equipment are consistently stocked.
  • Act as Turin Office referent (about 40 people), traveling regularly (about once every month or two) to maintain standards and resolve local issues.
  • Plan and execute internal employee activities (team-building, afterworks, well-being initiatives) and manage employee gifts.
  • Support administrative tasks including invoice processing and purchase justifications.
  • Coordinate global corporate events: plan and schedule events, manage on-site logistics, and collaborate with HR and IT on travel, equipment, badges, and business cards.

Requirements

  • 5+ years of professional experience in office management.
  • 3+ years of experience planning large-scale corporate/executive events and coordinating remote teams.
  • Fluent English and Italian (written and verbal).
  • Willingness to travel regularly to the Turin office (about once every month or two).
  • Proven autonomy and proactive problem-solving within established policies.
