TL;DR

Operations & Order Management Coordinator (Administration): Managing the end-to-end lifecycle of client orders from verification to final invoicing with an accent on financial checks, supplier coordination, and cross-platform data accuracy. Focus on maintaining profitability targets, coordinating delivery schedules, and ensuring seamless operational handovers.

Location: Remote (Timezone: Must align with Leeds, UK business hours, 8:00 AM to 5:00 PM)

What you will do

  • Process and log new client orders accurately across Smartsheet, Pipedrive, Eworks, Xero, and Sales to Invoice.
  • Conduct financial and account checks, reviewing retention clauses, deposit requirements, and payment approvals.
  • Raise and manage supplier purchase orders, source alternative products for shortages, and monitor lead times.
  • Coordinate delivery schedules, job assignments, and operational handovers with internal teams.
  • Finalize invoicing in Xero and set up recurring invoices for rental and maintenance contracts.
  • Maintain meticulous tracking records and operational checklists to ensure compliance with SOPs.

Requirements

  • Proven background in an administrative, operations, or project coordination role.
  • Elite attention to detail with the ability to manage multiple live orders simultaneously.
  • Ability to work across several software platforms concurrently and pick up new tools quickly.
  • Strong written and verbal communication skills for daily liaison with clients and suppliers.
  • Comfort with basic financial processes, including invoicing and cost-checking.
  • Availability to work flexible hours between 8:00 AM and 5:00 PM Leeds, UK time.

Nice to have

  • Hands-on experience with Eworks, Xero, Pipedrive, or Smartsheet.
  • Experience in interior design, horticulture, facilities, or product-based business operations.
  • Familiarity with purchase order (PO) processing and supplier management.
